Management Assistant

Eurail is based in Utrecht, the Netherlands. The dedicated team at Eurail continuously works to improve pass products and offers a truly life-changing journey throughout Europe. 

Key Responsibilities

You will be based in our office by Utrecht Central Station, but you’ll also spend time at our city centre office. Your main duties will include:

  • Supporting 3 C-level managers

  • Taking care of diary management, including arranging meetings, lunches, workshops and appointments

  • Organising and coordinating internal events

  • Organising and coordinating quarterly board meetings (creating agendas, managing logistics, time allocations and taking minutes)

  • Making international travel arrangements, booking train tickets, flights and accommodation

  • Being the main point of contact for third parties such as contracted suppliers, cleaning companies and property managers and attending the tenant meetings

  • Overseeing general office management, including ordering office supplies, maintaining a safe working environment at two office locations, updating Outlook contacts and distribution lists and adding (credit card) payments into a system

  • Handling orders of paper ticket stock for agents and carriers and managing stock control.

  • Coordinating the ERT (BHV) by setting up meetings, developing evacuation plan and maps and making sure certificates are obtained and renewed


Your competencies and skills

We’re looking for someone who is hands-on, proactive and willing to go the extra mile in supporting the leadership team. You should have:

  • Strong organisational skills, which you will show by performing and prioritising multiple tasks across our two offices with excellent attention to detail.

  • Good working proficiency in Microsoft Office (including Outlook, Word, Excel and PowerPoint).

  • A good understanding of data protection regulations, so you can handle confidential information correctly and with discretion.

  • An entrepreneurial streak, with the ability to think creatively, take the lead and act independently.


Your experience and education

The right candidate should have:

  • A Bachelor's degree and a minimum of 3years of experience in a similar role

  • A multi-cultural mindset – experience working in an international environment is a big plus

  • Fluent written and verbal communication in both English and Dutch
